Tours are soft. Referral fees keep climbing.
The family already asked AI for a shortlist.
A daughter researching memory care for her mom late at night no longer starts with a stack of search tabs. She asks ChatGPT or Gemini, gets a handful of names and a cost range, and calls from that list. If your community is not in the answer, the next place she lands is often a referral site, and you pay for a move-in you could have won directly.

What senior living sales and marketing directors are seeing
Inquiries arrive with a shortlist already made
Families call and say "we're looking at you and two others." They chose those two others before they ever saw your website, and you don't know why.
Referral agencies own more of your move-ins
Your direct inquiry line is flat while agency-sourced leads grow. Each of those move-ins carries a referral fee, and duplicate leads from two agencies turn into billing disputes.
Tours happen, but families come in misinformed
Your sales counselors spend the start of every tour correcting what the family heard: that you don't take memory care residents, that you're all-inclusive when you're level-of-care priced, or that you have respite rooms you stopped offering.
Your census is fine in one community and lagging in another
Same brand, same budget, very different occupancy. The lagging community may simply never come up when families in that town ask for options.
The common thread: the shortlist now forms inside an AI answer, before anyone visits your site, calls, or fills in a form. Your name is either in that answer or it is not.
What you're already paying for, and where it stops
None of this is wasted. Each one does its job. None of them was built to put your name in an AI answer.
Paying A Place for Mom, Caring.com, or other referral agencies
Referral partners do send families, and many communities rely on them. But families often reach that agency because a search result or an AI answer pointed there first. Under a move-in based referral model the fee is owed when the resident moves in, so every move-in that could have come to you directly still carries one.
A senior living SEO or digital agency
Ranking pages on Google is still useful. AI assistants, though, assemble an answer from many sources at once, and an agency report on keyword positions will not tell you whether ChatGPT names your community for "memory care near me for mom with dementia."
Paid search and paid social for tour bookings
Ads reach families who are already clicking. They do not appear inside the AI answer where a family decides which communities are worth a call.
Reviews on Google and senior living directories
Reviews help, and they are one input AI draws on. Plenty of well-reviewed communities are still left out, because the answer also depends on whether care levels, pricing approach, and location are stated plainly somewhere AI can read.
A beautiful website with a virtual tour
Photos and video tours sell the visit. They don't tell an AI assistant, in plain text, that you offer secured memory care, accept a specific long-term care insurance process, or have short-term respite stays.
What a missed decision is worth
A resident who never hears your name does not show up in any report. Put your own numbers in to size what that costs over the years they would have stayed.
Example numbers. Replace them with yours.
Lifetime revenue from one year of missed residents
$480,000
per resident per year × years they stay × missed per year
Take your average monthly rate (base rent plus typical care fees) for the community, multiply by 12, and use your own move-out data for length of stay.

What to check whether AI says about your community
Things to check in the answers about you. The evidence explorer keeps the full text of every answer, so your team can read exactly what was said.
The wrong care levels
Check whether AI says you offer assisted living only when you also have a secured memory care neighborhood, or the reverse. Families filter on this first, and a wrong answer removes you before anyone calls.
An outdated pricing model or price range
Check whether AI describes you as all-inclusive when you price by level of care, or quotes a rate from an old directory listing. Families then compare you on a number you never published.
Payment options stated as fact that aren't true
Check whether AI says you accept Medicaid waivers or work with long-term care insurance when you don't, or the opposite. Medicaid home and community based services waivers are designed state by state, so a generic answer is easy to get wrong. Also check whether AI tells families that Medicare pays for assisted living; federal guidance says Medicare covers only limited skilled or rehabilitative care.
Respite and short-term stays
Check whether AI mentions respite availability accurately. Families ask about it when a caregiver needs a break or a parent is recovering, and an answer that says you don't offer it (or that you do, when you stopped) sends the wrong families your way or away.
Your community confused with a sister or former brand
Check whether AI still uses a pre-acquisition name, mixes you up with another community on the same street, or lists a community your company sold.
Your first 30 days
Steps your own team can take, in this order. Monitoring shows which of them moved the answer.
Run the family's questions for each community
Ask ChatGPT, Claude, Gemini and Perplexity the eight questions above for each town you serve. Write down who is named, whether you are, and every factual error about your care levels, pricing, or payment options.
Publish a plain-text care levels page per community
One page per community that says, in sentences, which care levels you provide (independent, assisted, memory care, respite), what memory care includes (secured neighborhood, staff training approach, activity program), and who is not a fit. Text, not a PDF brochure or an image.
State your pricing approach and payment options
You don't have to publish exact rates. Say how pricing works (all-inclusive or level of care, what's in base rent), a starting-from figure if your team is comfortable, and exactly which payment paths you accept: private pay, long-term care insurance support, VA benefits, and whether you participate in your state's Medicaid waiver program.
Make your listings agree with each other
Update your Google Business Profile, your state licensing record, and every directory and referral-site profile so care levels, name, address, and phone match the website. AI blends these sources, and conflicting listings produce confident wrong answers.
Answer the comparison questions families actually ask
Publish short, honest guides: assisted living vs memory care, what to ask on a memory care tour, what respite stays cost and include. Write for the adult child, name your town, and keep each one factual. Then re-run the questions and note what changed.
The plan that fits most senior living communities
Growth
$399/mo
Up to 5 locations or brands, 120 tracked questions each.
Most operators have more than one community, and each town gets a different AI answer. Growth tracks up to 5 communities or brands with up to 120 questions, so you can see which community is being left out. Single-community operators can start on Local; larger portfolios usually fit Concierge.
A mention is not a signed resident. We measure whether and how you are named in sampled AI answers, show who is named instead, and rank the fixes. We do not promise placements.
Questions senior living sales and marketing directors ask us
We get most of our move-ins from A Place for Mom. Why does this matter?+
Keep those partnerships if they work for you. A Place for Mom states that its service is free to families and partner communities pay it fees, and Caring.com bills its partners when a referred prospect moves in. The question is how many families would have called you directly if your community had been named in the AI answer they read first. Monitoring shows you that gap, community by community.
Do adult children really ask ChatGPT about memory care?+
Families often start researching after a hard phone call or a hospital discharge, and a chat assistant is an easy place to begin. We don't claim a share of families; run a free scan on your own town and read the full answers yourself.
Can you get us recommended by AI?+
No one can promise that honestly. We measure whether and how your community is named in sampled answers, show who is named instead, and give you a ranked list of fixes. A mention is not a tour or a move-in, but being absent from the answer means the family never gets to that step with you.
We don't publish pricing. Will that hurt us?+
It means AI will fill the gap from somewhere else, often an old directory rate. You don't need a rate card online. Describing how your pricing works and what's included usually corrects the worst errors.
What do you do with our resident or family data?+
Nothing, because we never ask for it. Monitoring runs general questions against public AI assistants and records the answers. There is no connection to your CRM, EHR, or move-in records.
How does this help my sales team day to day?+
They can read the exact answers families saw, including mistakes about care levels or payment options, and address them on the first call. The evidence explorer keeps the full answer text, and exports go into your own reporting.
